Initial setup
Welcome to Atlas Control. This page walks you through the steps to get your
organisation running on Atlas in roughly 30 minutes.
1. Connect your Kaseya feed
If you previously ran Kaseya Quote Manager, paste your Kaseya API key under
Settings → Integrations → Kaseya and trigger your first sync. Atlas pulls
products, brands, categories and clients across.
2. Activate the pricing engine
By default Atlas keeps using the per-product prices from your Kaseya import.
When you're ready to switch to rule-based pricing, go to
Settings → Pricing and tick Enable pricing engine.
The engine resolves sell price from cost + margin rules per category. Start
with "All Products = 25% margin" and add per-category overrides as you go.
The list-price guard caps sell at RRP × 80% (configurable) and sacrifices up
to 60% of the margin to stay under the cap, so a $107 RRP product won't sell
at $133 even if the rule says it should.
3. Add quote approval rules
Under Settings → Sales → Quote approval rules, add the rules that
should send a quote to "Pending approval" before going to a customer. The
common starting set is:
- Total quote value > $50,000
- Item margin % < 10
- Item discount % > 15
Quotes that trip any rule require sign-off in the Approvals inbox before
the customer can accept.
4. Customise email templates
Settings → Email templates ships with three pre-seeded templates
(Standard, New Organization, MSA). Click [Tag] in the editor to insert
variables like {{quote.total}} or {{client.contact_name}}. Use Test
to send a sample to your own inbox before going live.
5. Subscribe people to events
Settings → Email → Notification subscriptions picks who gets each event.
Defaults work out of the box — owner gets quote-related events, admins get
approval requests. Add a finance email to quote_accepted_won if you want
sales totals to land in the inbox of someone who's not the owner.
